Job Profile for Managing Director:

The Secretary to Managing Director (MD) will provide high-level administrative, organizational and operational support to ensure smooth functioning of the MD’s office. The role serves as a key communication bridge between the MD, internal teams, external stakeholders and strategic partners. Responsible for assisting MD in secretarial activities like, day to day operations, departmental coordination, event & calendar management, meetings and appointment. The position requires professionalism, confidentiality, strong coordination skills and the ability to manage multiple priorities efficiently.

Required Skills & Qualifications:
  • Bachelor’s degree in Business Administration, Office Management or a related field.
  • 5+ years of experience as an Executive Secretary, Administrative Assistant or similar secretarial or administrative support role.
  • Proficiency in office management software (e.g., Microsoft Office Suite, Google Workspace).
Key Responsibilities:

Scope of work includes, but is not limited to the following:

  • Manage the MD’s calendar, appointments, meetings and travel arrangements with accuracy and priority alignment.
  • Serve as the primary communication link between the MD’s office, internal teams and external stakeholders.
  • Draft, review and manage official correspondence, reports, presentations and confidential documents.
  • Coordinate and organize meetings, including preparing agendas, minutes and action follow-up reports.
  • Track and monitor projects and directives assigned by the MD to ensure timely progress and completion.
  • Conduct research, compile data and prepare briefs to support the MD’s strategic decisions.
  • Handle sensitive information with discretion and maintain a high level of confidentiality at all times.
  • Ensure smooth office operations by managing workflows, prioritizing tasks and resolving issues proactively.
  • Ensure efficient allocation, utilization, and maintenance of construction equipment to optimize productivity and reduce downtime.

  • Attention to detail and accuracy in handling tasks and documents. 
  • High level of professionalism, integrity and discretion in handling sensitive information. 
  • Excellent interpersonal skills for interacting with stakeholders at all levels.
  • Experience handling international travel and scheduling across time zones.
  • Strong problem-solving and critical thinking skills with the ability to work independently.
  • Excellent written and verbal communication skills.
